Automatic recording for all Zoom meetings can be configured at the account level to ensure all meetings are recorded without requiring manual initiation. To enable this, access the Zoom web portal as an administrator, navigate to Account Settings, and locate the Recording tab to configure automatic recording options. This will apply the setting to all users in your account.
Prerequisites

Enabling Automatic Recording at the Account Level

- Choose the desired recording layout option. You can choose to record the active speaker, gallery view, or shared screen with active speaker.

- Determine the recording storage location. Choose between Cloud Recording or Local Recording. Cloud Recording stores the recording in the Zoom cloud, while Local Recording stores it on the host’s computer (not recommended for centrally managed automatic recording). - If selecting Cloud Recording, configure additional settings, such as whether to download the recording automatically to the host’s computer after the meeting ends.
- If desired, enable cloud recording download access only with password.
- If desired, choose to display a disclaimer to participants when a recording starts. This is a best practice for transparency and compliance. To enable the disclaimer, select Recording disclaimer. Customize the disclaimer text if necessary, such as including your organization’s specific policy.
- Click Save to apply your changes.
Locking the Automatic Recording Setting
- After enabling automatic recording, you may want to prevent individual users from disabling it. This is achieved by locking the setting at the account level.
- While still in the Recording tab of Account Settings, locate the Automatic recording setting you enabled.
- Click the lock icon to the right of the Automatic recording setting.
- A confirmation window will appear. Click Lock to confirm that you want to prevent users from changing this setting.
Understanding Recording Storage
- When using Cloud Recording, understand your Zoom account’s cloud storage capacity. Exceeding your storage limit may result in recordings not being processed or accessible.
- Regularly review and manage your cloud recordings to ensure sufficient storage space. Delete or archive older recordings as needed.
- If using Local Recording, ensure that hosts have sufficient storage space on their computers and that they are following your organization’s policies for storing and backing up recordings. Local recording is generally not recommended for automatic recording at the account level.
- Specify the location where cloud recordings are saved. To modify the location where Zoom cloud recordings are saved, navigate to Account Management, then Recording Management.
Considerations for Webinars
- The steps for enabling automatic recording for webinars are similar to those for meetings.
- In the Zoom web portal, navigate to Account Management, then Webinar Settings.
- Click the Recording tab and follow the same steps as outlined above for meetings.
- When automatic recording is enabled for webinars, all webinars will be automatically recorded unless a host manually stops the recording during the session.
Common Issues
- Automatic recording is not starting: Ensure that the “Automatic recording” setting is enabled at the account level. Verify that the host has a paid Zoom account. Check the host’s computer for storage space if using local recording.
- Users are disabling automatic recording: Lock the “Automatic recording” setting at the account level to prevent users from changing it.
- Cloud storage is full: Regularly review and manage cloud recordings. Delete or archive older recordings. Consider upgrading your Zoom account to increase storage capacity.
- Recordings are not processing: Check your internet connection during the meeting. Verify that the Zoom cloud recording service is functioning correctly (check Zoom’s status page). Contact Zoom support if the issue persists.
- Participants are not aware that the meeting is being recorded: Enable the “Recording disclaimer” setting and customize the message to clearly inform participants that the meeting is being recorded. This is critical for compliance.
