Zoom Clips allow users to create and share short video messages internally, streamlining communication and collaboration. To configure Zoom Clips for your organization, enable the feature in the Zoom web portal, manage sharing settings, and optionally, configure external sharing controls if desired. This guide will walk you through each of these steps.
Prerequisites
Before you begin configuring Zoom Clips, ensure the following requirements are met:
- Zoom Account: You must have a Zoom Pro, Business, Enterprise, or Education account.
- Admin Privileges: You need administrator privileges in the Zoom web portal to access and modify account settings.
- Zoom Client Version: Users within your organization should be using the latest version of the Zoom desktop client or mobile app to access Clips. Consider enabling automatic updates.
Enable Zoom Clips for Your Organization
- Sign in to the Zoom web portal: Navigate to zoom.us and sign in using your administrator credentials.
- Access Account Management: In the navigation menu, click Account Management, then select Account Settings.
- Navigate to the Zoom Clips Section: On the Account Settings page, click the Meeting tab. Then, scroll down to the Zoom Clips section. You may need to use Ctrl+F (or Cmd+F on Mac) to search for “Clips” on the page.
- Enable Zoom Clips: Locate the “Zoom Clips” toggle. If it’s disabled (grayed out), click the toggle to enable it. A verification dialog box may appear; click Enable to confirm.
- Lock the Setting (Optional): To prevent individual users from disabling Zoom Clips, click the lock icon next to the “Zoom Clips” setting. Click Lock to confirm. This will enforce the setting at the account level.
Configure Zoom Clips Sharing Settings
- Access Account Management (if you aren’t already there): In the navigation menu, click Account Management, then select Account Settings.
- Navigate to the Zoom Clips Section: On the Account Settings page, click the Meeting tab. Then, scroll down to the Zoom Clips section.
- Manage Sharing Permissions: Within the Zoom Clips section, configure the following sharing options:
- Allow users to share clips internally: Ensure this option is enabled if you want users to share clips with other members of your organization. If you disable this, only the clip creator can view it.
- Allow users to download clips: Enable or disable this option based on your security and compliance policies. Downloading clips allows users to save a local copy.
- Set default clip visibility: Define the default visibility for new clips created by your users. Choose between “Only me” (private), “Everyone in my organization” (internal), or “Specific people.” Be mindful of internal policy when deciding default visibility, as it influences how quickly and easily users can share content.
- Save Changes: After configuring the desired sharing settings, scroll to the bottom of the page and click Save. Although many changes auto-save, it’s good practice to explicitly save.
Configure External Sharing Controls (If Required)
Note: External sharing may not be available on all Zoom plans. Verify that your plan includes this functionality.
- Review your Security Policies: Before enabling external sharing, consult with your security team to ensure alignment with your organization’s data protection policies.
- Access Account Management: In the navigation menu, click Account Management, then select Account Settings.
- Navigate to the Zoom Clips Section: On the Account Settings page, click the Meeting tab. Then, scroll down to the Zoom Clips section.
- Enable External Sharing: Look for a setting related to “Allow external sharing” or “Share clips with external users.” The exact wording may vary depending on your Zoom version. Enable this setting if you want users to share clips with people outside your organization.
- Set Expiration Dates (Recommended): When enabling external sharing, configure expiration dates for shared clips. This ensures that external access is automatically revoked after a specified period, mitigating potential security risks. Set a reasonable timeframe based on the content and purpose of the clips.
- Require Passwords (Recommended): Require passwords for externally shared clips. This adds an extra layer of security, preventing unauthorized access even if the link is intercepted.
- Set Sharing Limits (If Available): Some Zoom plans offer the ability to limit the number of times an external user can view a shared clip. Configure this setting to further control access.
- Save Changes: After configuring external sharing settings, scroll to the bottom of the page and click Save.
Common Issues
- Zoom Clips Option Missing: If you cannot find the Zoom Clips option in Account Settings, verify that your Zoom account includes the feature and that you have administrator privileges. If your plan supports Clips but you still don’t see the option, contact Zoom support to enable the feature for your account.
- Users Cannot Access Clips: Ensure that users have the latest version of the Zoom desktop client or mobile app. Older versions may not support Zoom Clips. Instruct users to update their Zoom client.
- Sharing Restrictions: If users are unable to share clips as expected, double-check the sharing settings in Account Settings. Confirm that the necessary permissions are enabled for internal or external sharing.
- Playback Issues: Video playback issues can be caused by network connectivity problems. Advise users to check their internet connection and try again.
- Clip Size Limitations: Zoom Clips may have limitations on clip length or file size. If users encounter errors when creating or uploading clips, ensure that the clip meets the specified requirements. Consult Zoom documentation for the most up-to-date specifications.
